We are looking for a proactive and independent Executive Assistant to support our Operations MANCOM team. The position is a one year temporary contract with the possibility of extension and with a start date as soon as possible.


The Operations MANCOM consists of ten managers covering areas such as demand and supply planning, credit, master data, project management, customer service, warehouse and transport and is part of an organisation of approximately one hundred and fifty employees.

In this role, you will be a central sparring and support function for the Operations Director and the rest of the MANCOM group. You naturally take ownership of tasks with open boundaries and you actively contribute to creating structure, progress and effective collaboration across the organisation.

About the position:

As Executive Assistant to the Operations MANCOM, you will have a key role in a dynamic and ever changing environment. You enjoy working in a role with few fixed structures, many stakeholders and several parallel tasks, and you are motivated by creating an overview and making things happen.

Primary areas of responsibility:

  • Calendar and meeting management for the Operations Director, including coordination across MANCOM
  • Preparation and follow up on management meetings and workshops
  • Central coordination and communication across internal and external stakeholders
  • Project support and ad hoc tasks within Operations
  • Administrative and financial tasks, including handling of expenses, invoices and follow up
  • Act as a strategic gatekeeper and ensure prioritisation of the Director’s time as well as handling urgent requests
  • Minute taking and systematic follow up on action points from management and MANCOM meetings
  • Preparation of presentations and briefing material of high quality for internal and external stakeholders
  • Monitoring of departmental KPIs and support for the development of operational reports and analyses
  • Identify and implement improvements that streamline internal administrative processes
  • Support for budget follow up, forecast and financial monitoring in the department
  • Planning and coordination of travel and general logistics

We are looking for

To succeed in this role, you are comfortable navigating complexity and you work independently with a strong sense of responsibility.

We expect that you:

  • Have at least three years of experience as an Executive Assistant or in a similar support function
  • Are proactive, curious and take initiative
  • Thrive in an environment with many stakeholders and shifting priorities
  • Work in a structured way and maintain an overview, even in a fast paced setting
  • Enjoy working closely with senior management and across functions
  • Demonstrate a high level of discretion and confidentiality when handling sensitive management material
  • Possess advanced skills in Microsoft Office 365, particularly within complex Outlook management and PowerPoint 
  • Communicate clearly, professionally and diplomatically, both in writing and verbally, at all levels of the organisation
  • Have strong problem solving skills and can find creative solutions under pressure
  • Have a high level of digital understanding and an interest in using AI tools to optimise workflows
  • Work with attention to detail and ensure high accuracy in planning, documentation and financial tasks
  • Adapt quickly to new technologies and internal processes in a global environment that is constantly evolving
  • Demonstrate emotional intelligence and cultural awareness when collaborating with a diverse and cross functional organisation
  • Have a service minded approach and can anticipate management needs before they arise
  • Possess English language skills at a high professional level, as well as other relevant local languages
